Dear Cycling Ireland Clubs, Members & Community

 

It is again time to invite you to the hosting of our Annual General Meeting (AGM) on 17th October 2020 – please see official notice attached. However, as you’ll be acutely aware, 2020 has been a year like no other in our recent history; that has challenged us as never before and has necessitated a number of changes and adaptations to our standard ways of operating. We hope you are all safe and well in these unprecedented times.

 

In line with the current public health pandemic, we expect we’ll likely need to conduct the 32nd AGM of the Federation in a virtual format. Until we can confirm this will definitely be the case, we will proceed by concurrently preparing for both a virtual and “in person” meeting – to be held at the Crowne Plaza, Blanchardstown Co. Dublin. This venue was selected as it offers capacity to accommodate a virtual meeting with meeting rooms that can also ensure safe social distancing. A further reason for the selection of this venue was to ensure the well-being of staff involved in the organising and attending the event by limiting their travel requirements.

 

We will advise in due course, in keeping with government guidelines, whether the meeting will be held:

1.       In person at the meeting venue exclusively;

2.       Virtually for members/attendees but hosted by the Board/officials from the venue.

 

Should the meeting be conducted in a virtual format (eg via Zoom) attendance will be electronically managed with regard to delegate registration, speaking and voting via Voting Buttons. A process inviting delegates to register ahead of the meeting will be necessary and once a delegate list is determined, each delegate will be sent a link to join the meeting. A number of other sporting bodies eg Paralympics Ireland and Triathlon Ireland have hosted their AGMs successfully in this way, whilst maintaining compliance with their governing documents.  

 

Cycling Ireland staff will be on hand to provide assistance to delegates in the process of registration or joining the meeting. More details will follow should this option be necessary.

 

We do hope it will be possible to host the AGM in person – however look forward to seeing you in October whatever format the AGM will take.
