Important Update for Leisure Event Promoters - Feb'19



 

Following recommendations from the Leisure Commission, we are now introducing some changes to improve the management and promotion of leisure events. We are asking clubs to support these changes for all leisure events in 2019.

 

Promoting your event

We are improving the way we promote your events to the cycling public. To get the most out of event promotion, it is important that you enter your event on the Cycling Ireland Events System and provide as much information as possible about your event. Information such as your website or Facebook page, online registration page, etc can help members to find your event and register. Just enter the information in the Event Details section of your event or send the information to ContactUs@cyclingireland.ie and we'll do the rest.

 

All events that are registered on the Events System will be promoted as follows:

  • Event will appear on the Leisure Events Calendar on the Cycling Ireland website and Mobile App.
  • Upcoming events will be published each week on Social Media.
  • A list of Upcoming Events will be emailed to members each week.

 

Authorised Event Stamp

With so many leisure cycling events taking place nowadays, it is very important that Cycling Ireland members know which events are authorised by Cycling Ireland and thereby covered by our event insurance. We request that you place the Authorised Event Stamp on all your promotional material so that it will be obvious to participants that you are running an official event and thereby covered by Cycling Ireland insurance.

Note that your event must be entered on the Cycling Ireland Events System to allow you to use the stamp.

Post-event Report

All leisure event promoters are now required to submit a post-event report within 2 weeks of the event taking place. This is similar to the Commissaires Report that is completed after a competitive event. By submitting the Post-Event Report, you will be providing valuable information to help us measure and improve participation over the coming years. Accessing the Leisure Events Calendar

To make is easier to access the Leisure Events Calendar, it can now be added to your smartphone or PC calendar app and updated automatically. Just copy & paste this link http://www.calendarwiz.com/CalendarWiz_iCal.php?crd=cyclingirelandleisure into Apple iCalOutlook CalendarGoogle Calendar and other compatible calendars to receive automatic updates for this calendar.


Mobile App

The Cycling Ireland Mobile App is currently being upgraded and will be re-launched in early March. The app will be available on Android and IOS platforms. Using the app, members will be able to find and register for events.

 

General Tips

To adhere to the General Data Protection Regulation (GDPR) and protect peoples privacy, when emailing your event participants always use the BCC field so that participants email addresses are not visible to everyone on the email.


Leisure Event Awards

We will be implementing changes to the Leisure Events Award process. There will be a Best Leisure Event Award each month and these monthly winners will be put forward for the Overall Best Leisure Event of the year with voting taking place in October. Details are still being worked out and will be published in early March.
